Open the app and tap Sign in with Google. Sales Tracker uses your Google account to keep your business's data private and separate from every other business using the app — nobody else can see your sales, catalog, or team, and you can't see theirs.
The first time you sign in, a short setup wizard runs:
Changed your mind partway through? There's a Cancel Setup & Sign Out link below the Next/Back buttons on every step — nothing is saved until you tap "Finish Setup" on the last step, so canceling any time before that is completely safe.
After Google sign-in, you'll land on a screen asking "Who's working?" — this is separate from your Google account and exists so sales can be attributed to whoever actually recorded them. Enter your username and password (tapping your name tile just fills in the username for convenience — it never skips the password). A brief "Checking…" and "✓ Signed in" indicator confirms your password was correct before the app loads. This choice lasts for your current browser session; closing the app and reopening it will ask again.
Once signed in, tap your name/avatar in the top-right of the app at any time to open the account menu — it shows who you're currently signed in as, lets you jump straight to another active team member (which still requires their password), open Account Settings, or Sign Out entirely.
Every sale is automatically tagged with whoever is signed in as the current team member — you'll see this as "Seller" on the sale's details.
In Settings → Catalog, add the products or services you sell with their prices, so they're one tap away when recording a sale. You can edit prices or remove items at any time.
Use 🖨 Print Price List at the top of the Catalog page to generate a clean, customer-facing price sheet — no internal sales data, just item names and prices — ready to print, save as an image, or send straight to WhatsApp.
The Free plan is limited to 20 catalog items. Business and Pro plans have no limit. Printing the price list requires Business or higher.
The Dashboard gives you an at-a-glance view of your business:
The Dashboard tab is only visible to Admins. Staff sign in directly to Sales Records instead, and don't see business-wide totals, revenue, or team performance figures.
The Records tab lists every sale, searchable by buyer name, seller name, or date. Tap any sale to see its full details, where you can:
Report buttons are available in several places — Dashboard ("Export Report", a full statistics report), Records ("Print / Export", your sales list respecting whatever search filter is active), a sale's detail view ("Print Receipt"), and Catalog ("Print Price List"). Each opens a print-ready page in a new tab with three options:
Pro plan accounts also get a CSV export (Settings → Data Management) for pulling raw sales data into Excel or Google Sheets — with its own "Share to WhatsApp" button too.
Printing/exporting anything (including images and WhatsApp sharing), and custom logo branding on those exports, requires the Business plan or higher.
Admins can add, deactivate, or remove team members from Settings → Team & Users. Each person gets their own username and password, and a role of either Staff or Admin.
Tap any existing team member in the list to edit them — their name, username, and role are pre-filled, and you can either leave the password field blank to keep their current password, or type a new one to reset it.
Free plan: 2 seats. Business: up to 5. Pro: unlimited.
Staff accounts don't see the Dashboard tab, and their Settings page only shows Appearance, About, and Locations (if applicable). Business Info, Billing & Plan, Team & Users, and Data Management are visible to Admins only.
Settings → Billing & Plan shows your current plan, usage against your limits, and upgrade options. If you haven't subscribed yet, you'll see a one-time offer to start a 14-day free trial of Pro — no card required. During the trial, a banner shows how many days are left, and you can upgrade to a paid plan at any point to keep those features afterward. You can cancel a trial or subscription at any time from the same screen.
Pro accounts can manage more than one shop/branch from a single login. Add locations in Settings → Locations, then use the location switcher at the top of the Dashboard to move between them — sales, catalog, and reports all filter to whichever location is currently selected.
Tap the sun/moon icon in the top navigation, or use the switch in Settings → Appearance, to toggle between light and dark mode. Your choice is remembered on this device.
Settings → Data Management lets you export all your data as a JSON file (a personal backup you can keep or re-import later) or import a previous export — both the JSON backup and the Pro CSV export can also be sent straight to WhatsApp instead of just downloaded. Clear All Data permanently deletes your sales — use it carefully.
